Why preventive maintenance matters
Reactive maintenance feels cheaper until failures happen at the worst time. A neglected generator may fail during an outage, a dirty HVAC system may consume more power, and an untested fire alarm fault can sit unnoticed. Preventive maintenance turns the facility from a sequence of emergencies into a managed asset.
Prioritize by consequence, not by equipment price
A low-cost component can be operationally critical. Start by classifying systems according to safety, business interruption, regulatory importance, replacement lead time and redundancy. Then build maintenance frequencies from manufacturer recommendations, operating conditions, regulations, site history and risk.
Building preventive-maintenance checklist
HVAC and ventilation
Filters, belts, coils, drains, controls, vibration, temperatures, refrigerant-related checks by qualified personnel and airflow/performance trends.
Generators and ATS
Battery, fluids, leaks, alarms, starting system, transfer logic, load exercise and fuel quality/storage considerations.
Electrical systems
Panels, connections, protection, overheating indicators, cleanliness, meters, grounding-related checks and documentation of loading where appropriate.
FDAS and life-safety
Faults, devices, panel condition, power supplies, batteries, alarms, interfaces and test records according to the approved maintenance requirements.
Pumps and plumbing
Leaks, seals, pressure, controls, tank levels, valves and abnormal vibration or noise.
ELV and security
Camera image quality, storage health, access-control devices, network equipment, UPS condition and user-access review.
The maintenance record is part of the maintenance
A checklist without evidence does not help much. Record date, asset, task, readings, defects, corrective action, parts used and next due date. Over time, this history reveals repeat failures and helps justify replacement before a catastrophic breakdown.
Maintenance and energy efficiency are connected
Equipment condition affects energy performance. Dirty coils, incorrect schedules, leaking compressed air, failed sensors or degraded power systems can increase consumption. RA 11285 provides the broader Philippine energy-efficiency framework and identifies energy audits as a way to determine appropriate efficiency interventions.
What should a facility maintenance contract define?

When should you stop repairing and replace equipment?
Replacement becomes more attractive when failure frequency rises, parts become obsolete, energy or maintenance cost is excessive, capacity no longer matches the facility, or the equipment creates an unacceptable safety or business-continuity risk. A lifecycle view is more useful than comparing one repair quote with one replacement quote.
